This notice describes the information Token Optimisation currently handles when you visit this site, contact the project, or choose optional analytics. Token Optimisation is a UK-based independent publishing project. For privacy requests, contact hello@tokenoptimisation.co.uk. No residential or postal address is published.
Information handled
Website delivery and security
To deliver and protect pages, the WordPress server and its hosting provider may process connection details such as IP address, browser/device information, requested page, referring page, request time and response status. The hosting provider, exact log fields and log-retention period have not yet been confirmed. UpdraftPlus backup software is active; its configured destination and retention have not been verified, so this notice does not claim backups are local-only or give an unconfirmed retention period.
Email enquiries
The Contact page offers a mail link, not a website form, account, newsletter or file-upload facility. If you email, the sender address and information you choose to include are processed to read and answer the enquiry and handle necessary follow-up. Your email provider also handles the message. Please send only a high-level description; do not email passwords, API keys, private prompts, customer records or other sensitive material. The email service and its exact retention settings have not been verified; messages are kept only as needed for the response and follow-up, subject to legal obligations.
Optional Google Analytics
Google Analytics 4 is used only if you choose “Accept analytics” or switch it on in Cookie preferences. Until then the tag is not loaded and no analytics page-view request is sent. If enabled, Google Analytics may process page-view/interaction events, page/referrer information and browser/device identifiers. Measurement ID: G-4JMYTXR23D. Advertising storage, personalisation and Google Signals are disabled. The Google tag is also not loaded in sessions authenticated as WordPress administrators. The GA4 property currently shows two months for event-data retention and fourteen months for user-data retention; Google may process data internationally. See Google’s Privacy Policy and Google Analytics data safeguards.
Cookies and your choices
A first-party preference cookie remembers an analytics choice for up to 180 days. Optional GA4 cookies are set only after affirmative consent. The footer’s “Cookie preferences” lets you change the choice; rejection/withdrawal disables measurement and removes the site’s GA cookies where the browser permits. WordPress authentication cookies may be used when an administrator signs in; public readers are not asked to create accounts. See the Cookie Policy.
Why information is used
- Deliver site pages and protect the service from abuse or technical faults.
- Respond to an email enquiry you initiated and manage necessary follow-up.
- Understand visits only when you have opted into analytics.
Technical delivery/security and answering a requested message support the project’s legitimate operational interests and your request. Optional analytics is based on consent. You may withdraw analytics consent at any time; this does not affect prior processing.
Recipients and international processing
Hosting and backups use the WordPress installation and its active maintenance tooling; the exact hosting company, backup destination and locations are being verified. Email uses the sender’s and recipient’s email services. Google receives analytics data only after consent. External provider links lead to their own sites and privacy terms. This site does not embed social feeds or session-replay tools.
Retention and security
Enquiry email is retained only for response and necessary follow-up. Host/security-log, backup and email-provider retention periods are not verified yet and are not represented as fixed periods. GA4 property retention is currently two months for event data and fourteen months for user data. Reasonable access and security controls are used; no online transmission or storage can be promised completely secure.
Your rights
Depending on circumstances, UK data-protection law may give you rights to access, correct, erase, restrict or object to processing, and withdraw consent. Email hello@tokenoptimisation.co.uk. You may complain to the UK Information Commissioner’s Office.
Operational review items
Hosting-provider identity and log retention, UpdraftPlus backup destination/retention, and email service location/retention still need factual verification. This notice is practical information, not legal advice, and will be updated when those provider facts are confirmed.
